As the Finance Officer, you will play a crucial role in managing the day-to-day financial and administrative operations of the agency. Reporting to the Finance Director, you will bridge the gap between high-level financial reporting and essential operational bookkeeping. This hybrid role involves maintaining accurate financial records, managing cash flow, ensuring regional compliance (KSA, Lebanon), and overseeing vital corporate and vendor documentation. The ideal candidate is detail-oriented, adaptable, and comfortable managing both numbers and administrative processes.

What will you be responsible for? 

Accounting & Bookkeeping

  • Maintain the general ledger and ensure all daily financial transactions (vendor invoices, expenses, payroll entries) are accurately recorded.
  • Prepare monthly and annual financial statements (P&L, Balance Sheet).
  • Perform weekly reconciliations for bank accounts, petty cash, vendor/client accounts. 
  • Ensure intercompany transactions are properly reconciled across entities and in accordance with international law. 
  • Prepare client invoices and perform three-way reconciliations between media spend, cost of sales, and client billing. 

Cash Management & Payments

  • Initiate vendor payments and payroll salary transfers. 
  • Track outstanding client payments and maintain an up-to-date aging schedule. Proactively follow up with clients by sending payment reminders.
  • Escalate overdue accounts when necessary and support the resolution of payment discrepancies.
  • Liaise closely with banking partners and handle related day-to-day communications.
  • Monitor the company’s cash requirements, prepare weekly cash flow reports and provide visibility on upcoming liquidity needs.
  • Optimize FOREX exposure by monitoring currency requirements and negotiating preferential exchange rates.

Tax, Compliance & Audit

  • Prepare, review and submit VAT returns in compliance with Lebanese and KSA regulations. 
  • Coordinate closely with external tax advisors to ensure adherence to Lebanese and Saudi corporate tax and regulatory requirements.
  • Prepare and submit WHT returns in accordance with KSA regulations, and maintain current WHT exemption certificates. 
  • Stay informed of changes in tax legislation and compliance requirements across Lebanon and KSA, proactively implementing necessary updates to processes and controls.
  • Own and coordinate the annual statutory audits by maintaining complete and accurate financial records, preparing audit schedules, and acting as the primary liaison with external auditors. 

Administrative & Corporate Obligations

  • Maintain proper documentation and manage contracts with external vendors.
  • Ensure employee contracts are signed, updated, and properly filed.
  • Track and manage company obligations (e.g., insurance policies, trade licenses, system renewals) to ensure timely updates. 
  • Act as the primary point of contact for the company’s PRO partners in Lebanon and KSA, coordinating visa processes, governmental filings, company registrations, and other corporate administrative matters.

Systems & Cross-Functional Collaboration

  • Utilize financial systems, dashboards, and automation tools effectively to enhance reporting accuracy and operational efficiency.
  • Identify opportunities for process improvements and implement automation initiatives where appropriate to streamline finance and administrative workflows.
  • Support and guide junior staff in Lebanon and KSA.
  • Work collaboratively with the A&F, Sales & Marketing, and Operations teams to ensure smooth financial operations.

Who are we looking for? 

Absolute must-haves: 

  • Education: Bachelor’s degree in Accounting, Finance, or a related field.

  • Experience: 5+  years of hybrid accounting and financial administration experience, preferably within a marketing, media, or service-based agency.

  • Technical Skills: Proficiency in accounting software (Zoho Books preferred) and strong MS Excel skills. Solid knowledge of accounting principles and regulatory requirements in Lebanon; familiarity with Saudi Arabian (KSA) tax and compliance regulations is a strong advantage.

  • Soft Skills: Highly detail-oriented, organized, and capable of independently managing competing accounting deadlines, compliance requirements, and administrative responsibilities with accuracy and efficiency.

  • Languages: Fluent in English and Arabic.

  • Mindset: Proactive with a strong sense of ownership and the flexibility to thrive in an international, cross-functional environment.
